Team roles

What Owner, Admin, Member and Accountant roles can each do.

Harmoneya has four roles: Owner, Admin, Member and Accountant. You pick the role when you invite someone from Settings → Team → Invite member (Admin, Member or Accountant; Owner is never invited).

Owner

  • Full access to everything in the organization.
  • Connects and disconnects integrations (bank, Gmail / iCloud, KSeF) and manages bank accounts.
  • Invites, promotes, demotes and removes Admins.
  • Can delete the organization itself.

Every organization has exactly one Owner.

Transferring ownership

The Owner can hand the organization to another member: in Settings → Team, open that member’s menu, choose Transfer ownership and type the organization’s slug to confirm. They become the Owner and you become an Admin, which means they can also remove you; only the new Owner can give ownership back. An Accountant can’t be made the Owner — change their role to Member or Admin first.

This is also the way out when you want to close your account but own an organization other people still work in.

Admin

  • Manage organization settings: General (profile, regional, tax), Invoicing (numbering, payment terms, template, reminders) and the low-cash alert.
  • Invite, remove and change roles for Members. Admins themselves are managed by the Owner.
  • See Banking, Integrations, the audit log and the organization’s AI-tool usage.
  • Full access to clients, projects, invoices, and transactions.
  • Cannot connect integrations, edit bank accounts or delete the organization.

Use for staff who run operations day-to-day.

Member

  • Work with clients, projects, invoices, and transactions: create, edit, mark paid, send.
  • View insights and the dashboard.
  • Cannot change organization-level settings, manage integrations, or invite teammates.
  • Cannot see other members’ personal settings or sessions.

Use for collaborators who need to do the operational work but shouldn’t change the org’s setup.

Accountant

  • Read-only access to the books: clients, projects, invoices, transactions and insights.
  • Cannot create or change anything, including MCP tokens.

What happens when a role changes

Permissions update on the affected user’s next page load — no logout / re-login needed. If they’re demoted from Admin → Member, the organization settings tabs disappear and an open settings page sends them back to their account settings.

Removing members

Removing a member revokes their access immediately. Anything they created (invoices, clients, projects) stays — the records belong to the organization, not the user. If they were the only “owner” of a thread or comment, the record is preserved with the author shown as their (former) name.
